Deploying AI requires an overall strategy, not just "handle it as it arises"

AI helps businesses improve productivity and operational efficiency, but many units are still concerned because they do not know how to manage data securely.

Every morning, Ms. Nguyen Thuy Duong, a representative of a beauty chain in Ho Chi Minh City, opens a statistical table of the previous day's customer list compiled by the AI-integrated sales software, including customers interested in skin rejuvenation services, the number of customers providing emails to receive promotions, and the best-selling treatments.

Thanks to integrating AI into the information management system since early 2025, Ms. Duong's facility has significantly reduced its dependence on human resources. "Work efficiency has increased by 30%-40%, and the rate of customers returning to use the service has also increased by more than 20% compared to the same period. However, what worries me most is the security of personal data in the system that stores portraits and treatment information of customers. If the information is leaked, the reputation built up over many years can be lost," said Ms. Duong.

Many businesses in other sectors are also applying AI to optimize their operations. Ms. Luong Thi Anh Tuyet - Deputy General Director, Market Leader of Audit Services, PwC Vietnam - said that the unit has applied AI to support auditors in detecting financial irregularities. AI-integrated software helps collect and detect unusual transactions that occur on holidays, Tet or occur repeatedly with the same amount on a statement of hundreds of pages, which would take several days to check manually. AI also automates repetitive business activities such as data entry and bookkeeping, thereby saving significant resources. According to Ms. Tuyet, AI not only helps optimize work efficiency but also improves business results. A recent survey by PwC showed that 82% of directors in the Asia-Pacific region have applied GenAI in the past year. The results are very positive: 37% reported increased revenue, 40% recorded higher profits, 58% noticed improved employee performance. According to the report "Vietnam's AI Economy 2025" conducted and recently published by the National Innovation Center (NIC) in collaboration with the Japan International Cooperation Agency (JICA), it is estimated that by 2040, AI will become a core factor in Vietnam's economic growth, contributing from 120 - 130 billion USD. Of which, 45 - 55 billion USD is generated through consumer demand for products and services with AI applications, 60 - 75 billion USD is the cost that can be saved due to increased productivity through automation, predictive analysis and improved performance thanks to the use of AI technology.

According to experts, although AI brings many benefits, it also comes with many challenges, especially in data management and information security. This makes many businesses, especially small and medium-sized enterprises (SMEs), very hesitant to promote applications. Many units only use AI at a basic level such as chatbots or use ChatGPT for synthesis, instead of deeply integrating it internally.

Choose the right tools and technology

According to Ms. Luong Thi Anh Tuyet, AI implementation requires a comprehensive and systematic strategy, not just "handle it as it arises". In fact, many businesses have invested billions of dong in AI tools, but the results are not as expected due to the lack of a clear plan. Some places only remember to integrate AI after completing the model transformation, leading to fragmented implementation, asynchronous data, and difficulty in control. "You have to be careful when using open AI platforms like ChatGPT. The results returned from ChatGPT seem reasonable, but no one knows where the data they upload will be stored and who has access. To apply AI effectively and safely, you need to have a strategy and a strict data control process from the beginning, not waiting until an incident occurs to handle it" - Ms. Tuyet said.

Mr. Ngo Quang Phuc, Chairman of the Board of Directors of Vi My Group and General Director of Viet My Dental, believes that AI needs to be integrated systematically from the beginning, with a clear roadmap and strict control. He recommends that businesses should coordinate with experts or solution providers to design a tight implementation process, ensuring that data is protected right from the data entry stage to analysis and processing. "The effectiveness only begins to be evident after a few months of implementation. Therefore, in addition to patience, businesses need to build an internal control process for synchronous operation, thereby minimizing the risk of information leakage and taking advantage of the value that AI brings," Mr. Phuc concluded.

At a recent AI workshop, Dr. Can Van Luc - Chief Economist of BIDV , Member of the Prime Minister's Policy Advisory Council - presented 6 factors that businesses need to pay attention to in order to successfully apply AI, including: preparing an AI strategy that is consistent with business goals; preparing a data platform; building a culture of innovation and collaboration; choosing compatible AI tools and technologies; ensuring ethical and responsible use of AI; continuously monitoring and improving the AI ​​system.

Building a culture of decision making

Mr. Le Hong Quang, General Director of MISA Joint Stock Company, said that first of all, businesses need to be educated about AI. Next, it is necessary to build a culture of data-based decision-making and promote digital transformation on a cloud computing platform integrated with AI. It is necessary to regularly review and update the plan to apply AI to each process to optimize the efficiency of business operations and management.
