pole Applying technology to improve management and operation efficiency, creating quick and transparent connection between union levels.
One of the important breakthroughs is the implementation of digital signatures, union member management software and accounting software. If previously paper procedures took a lot of time to store and circulate, now most transactions, reports and records between the upper-level union and the grassroots union have been processed in the digital environment. The entire system of documents and interactions with the grassroots are transferred via email and zalo, significantly reducing costs and time. In particular, managing union members with specialized software not only creates transparency but also helps to update data promptly, convenient for both union members and union officials when they need to look up benefits and policies.
Bai Chay Ward Union is considered one of the leading units. Although it was only established in July 2025, the Ward Union has applied digital signatures, member management software and deployed interactive channels via email and Zalo from the very beginning. At the same time, propaganda work has also been innovated. Instead of just holding direct meetings, the Ward Union organizes training courses, invites reporters to guide on digital transformation, artificial intelligence (AI), VNeID, network information security, etc. In two months of operation, the unit has organized 2 training conferences for more than 200 cadres and union members.
Ms. Nguyen Thi Duyen, Chairwoman of Bai Chay Ward Union, shared: We determined that digital transformation not only serves the administrative work of the union organization, but also allows officials and union members to easily access, exchange and enjoy policies. All activities are digitized transparently and quickly, thereby further strengthening the trust of workers in the union.
Another highlight of Bai Chay Ward Union is the implementation of the "Digital literacy" movement with the campaign "30 days and nights to popularize digital skills for union members and workers". In addition to training courses, the ward Union also distributed 2,600 leaflets promoting basic digital skills to union members at 128 grassroots unions. This activity not only helps raise awareness but also spreads the spirit of digital transformation to each enterprise.
Digital transformation is also being promoted throughout the coal industry, a sector with a large number of union members and workers. Recently, the Vietnam Coal and Mineral Industries Union (TKV Union) organized a training course on “Application of artificial intelligence (AI) in union work” for 84 key officials. According to grandfather Pham Hong Hanh, Vice President of TKV Trade Union, the application of AI is an inevitable requirement in the digital transformation period, contributing to innovation in working methods and improving work efficiency. The class is taught by experts, providing basic knowledge about AI tools to support text editing, presentations, data processing, etc. Thereby, each trade union official becomes the nucleus of spreading digital transformation, aiming for the goal that by 2030, the entire TKV trade union system will be proficient in using technology, better serving union members and workers.
From practice in the Company ward group Bai Chay and Cong TKV Group It is clear that the goal of building a “digital union” is gradually taking shape. Applying technology not only facilitates internal work but also opens the door to connection between unions and union members, so that the union organization is truly a reliable support, a practical companion to workers. Quang Ninh is a locality with a large number of workers in the industrial, service, and tourism sectors, so the pressure to manage, care for, and protect workers’ rights is very large. In that context, digital transformation is the “key” for unions to streamline their apparatus, improve operational efficiency, and respond more quickly to the needs of union members.
