Taking advantage of available, even free, AI tools, many users have significantly improved their efficiency in studying, handling work, and even acquiring new knowledge and life skills.
What is difficult is AI.
When it comes to AI tools, almost everyone knows about ChatGPT. Sharing with Tuoi Tre , Ms. Hong Uyen (HCMC) - an office worker - said that she is using ChatGPT every day mainly for studying purposes.
"When I don't fully understand the lecture content, AI helps me clarify difficult concepts, analyze them into simpler explanations, and give easy-to-understand examples. I also use AI for translation, saving a lot of time compared to manual searching," said Ms. Uyen.
AI tools are especially popular in learning. "I use a foreign English learning app with the advantage of applying AI to provide a learning path suitable for my level. The speaking exercises are also completely handled by AI, so I can study anytime, without having to make an appointment with a teacher," said Ms. Nguyen Thao (HCMC) - a communications staff.
As a business leader, Mr. Tran Viet Quan, Chairman of Tanca Company, said that he is using four main AI tools: ChatGPT, Grok, Claude and Copilot. Each tool is optimized for specific tasks. For example, Copilot is integrated directly into Windows to handle basic tasks such as translation and summarization.
Claude is the go-to for design, web application development, content creation, and strategic planning, while Grok and ChatGPT are responsible for research, data analysis, and content editing.
“The key is that we run these models in parallel to improve the quality of the output. For example, after Claude creates an article, Grok will do the editing and quality assessment,” Quan shared.
In addition, to serve more specialized requirements, Mr. Quan said that his start-up also applies many specialized AI tools, which people can refer to if needed.
For example, Presentation.ai app helps create professional presentation slides, Veed and HeyGen for video content production, and design toolkits like Envato, Canva, CapCut for image processing.
In particular, to support workflow automation, in addition to using available AI tools, the company also develops custom AI Agents to support sales, marketing and customer care departments.
"AI applications have improved productivity by up to 50-60%, helping us scale operations, speed up execution and diversify services," said Mr. Quan.
There is no such thing as an all-purpose AI application.
With the explosion of AI tools today, many users are confused because there are too many AI tools. Mr. Dang Huu Son (Deputy Director of the Institute for Applied Research and Human Resource Development AIOV, Founder and CEO of LovinBot AI Company) believes that the effective approach is that users should start from the problem that needs to be solved.
According to Tuoi Tre 's research, many users are looking for a simple AI tool that meets all requirements, but in reality, there is rarely a single AI tool like that. An efficient production process often requires dividing work into smaller parts.
For example, the process of producing animated videos, users should divide into steps: drafting content, dialogue and finalizing core ideas; designing characters and images; recording voiceovers, choosing suitable background music and sound effects; editing and publishing... Each stage will require one or more specialized AI tools.
To not depend on AI
According to expert Dang Huu Son, users can apply the 60-30-10 rule when applying AI tools. Of which, 60% is for AI to draft/iterate (such as getting ideas, outlining, summarizing), 30% is for users to edit and make decisions based on internal context, 10% is for risk verification (data, legal, brand).
When giving commands to AI, users can apply the "role → context → output → constraints" framework. For example, the command syntax: "You are an expert in (field); context (recipient/target); generate (output) length (X) words, with (criteria/source)...
To control quality, according to many experts in the AI field, users should not ask true/false questions but can replace them with "Where is the source? What is the timeline?". With research commands, users should ask AI to cite the source and year of publication; with updated data, add the constraint "as of date/month/year"...
In particular, when using AI, users, especially businesses, need to pay attention to situations where they should say "no" to AI by asking themselves: "If AI is wrong, what is the price I or the business have to pay?". AI should only support scenario analysis, while the final decision needs to be made by humans.
Some popular AI tool groups
- AI tools to support writing, idea generation and research: ChatGPT (draft, summarize, and quickly critique ideas based on context); Gemini (deeply integrated with the Google ecosystem (Drive, Docs, Sheets), capable of processing images and sounds). In particular, on the paid version of Gemini, users can create photos, create videos, create storybooks (audiobooks); Grok (provides concise answers, integrates real-time context from news and new events).
- AI tools group for image design and presentation: Canva AI (automatically suggests layout, content; creates photos/videos directly on the Canva platform); Microsoft Designer (creates banners, posters and digital publications from text descriptions); Shakker (platform synthesizes many image generation models, helps to quickly sketch ideas).
- AI tools to create videos and music : InVideo AI (automatically write scripts, select scenes and create short videos from input requests); Kling AI (create videos from text or reference photos, maintaining character consistency); Suno AI (compose music and lyrics quickly, suitable for creating demos for ideas).
- Advanced AI Agent group supports work: Perplexity AI (helps search and synthesize information with citations, ideal for quick lookup); Genspark.ai (unified workspace integrating chat, documents, slides and spreadsheets). With just one command, Agent AI will do everything from sketching ideas, writing commands, creating images, creating logos according to your goals)...
